Cancellation, Suspension and Project Validity Policy

Acceptance of Quote and Engagement

Acceptance of a quotation, whether by signature, written confirmation, or payment, constitutes formal engagement of OUTBOXED for the agreed scope of work and forms a binding agreement between the parties.

Payments and Refunds

All payments made to OUTBOXED are non-refundable once a project has been accepted and scheduled. This includes circumstances where work has commenced, is partially completed, or has been delayed at the client’s request or due to client inaction.

Where a client elects to cancel a project after acceptance, OUTBOXED reserves the right to retain all amounts paid to date, taking into account time spent, resources allocated, planning undertaken, and administrative costs incurred.

This policy applies primarily to business-to-business engagements. Where the Consumer Protection Act applies, refunds, if any, will be considered in accordance with reasonable cancellation costs as permitted under the Act.

Client Delays and Project Suspension

Project timelines are dependent on the timely provision of content, feedback, approvals, and instructions by the client.

Where delays occur due to client inaction or failure to provide required materials, OUTBOXED will not be held responsible for missed deadlines or extended delivery timelines.

If a project remains dormant for a period of 3 months due to client-related delays, the project will be deemed closed for operational and accounting purposes.

Any work requested after this period will be treated as a new engagement and will be quoted separately at OUTBOXED’s prevailing rates.

Project Scope and Allocation of Fees

Fees paid are allocated strictly to the project scope as defined in the accepted quotation.

Project fees, retainers, or allocated hours may not be transferred, reallocated, or substituted for alternative projects or services once work has commenced or resources have been scheduled.

Requests for scope changes or alternative work will require a revised quotation and written approval prior to commencement.

Resumption of Dormant Projects

Where a client requests the resumption of a project that has been dormant for an extended period, OUTBOXED reserves the right to reassess the scope, timelines, and pricing to reflect current requirements, technologies, and capacity.

A new quotation may be issued before any further work proceeds.
